Question
my subject is quite unclear because i don't know how to call the letter.anyway I am a newly elected secretary of the school council.I am told that I should make a letter to the dean stating that we do not want a new council adviser. instead we want to keep last year's professor/adviser.this is my first task for the office so i want to do good.Thank you for your help and more power.godbless!

Answer
Hi Farrah,

Congratulations on your election to secretary of the school council. I've prepared a sample letter for you.

You might want to clarify with the council whether they want this in letter or memo form. Letter format is more formal than a memo format, and I'm not sure what format the council generally uses to communicate with the dean.  You might also clarify whose name and title should be noted in the closing of the letter, yours or someone else's.  I've left that space blank.

Dear Dean _________________,

The council met on (date) and decided against a new council advisor.  Rather, the council would like to retain Professor ________, last year's advisor.

Please let us know if this is agreeable to you.  Thank you for your help.

Sincerely,

______________

Take care, Farrah, and best wishes for success in your new position.
