Excel/Update data without links

Question
QUESTION: I am running office 2003 on XP SP2.

I have a worksheet with sales data, sales enters the quantity of an item and it calculates the materials cost/labor/etc.

Currently I manually update the sheet when prices from vendors change, however we also update our ordering/tracking software (Quickbooks) which can conveniently export to excel.

The question is, can I take the data from the exported quickbooks file, which is generally the more current, and automatically update the sales workup?

Note: The part number in the Quickbooks file will be similar but not exactly what is in the sales workup.
I can provide versions of both the workup and the quickbooks export if necessary.

I have been looking at the files and have forwarded it onto a VBA expert that I know.  If it is possible he will find a solution. The only problem we have is that not all the items have service or install and some don't have the hyphen in them which makes it more difficult to shorten or split the column at the hyphen (some of them have even more hyphens as well).  

Either way if there is a solution we will find it and get back toyou in a few days.
