Question
Hi Michael

I use both an Excel Spreadsheet and a Powerpoint Presentation with no current link between both items. Is it possible for the powerpoint slide to update automatically with the data entered in Excel?

Currently i update Excel and then have to manually update Powerpoint

Answer
Hi Gareth,

Yes, there are two ways you can accomplish this. You can A. Automatically have it update when you reopen powerpoint or B. Have it automatically update when you save the excel file. I would recommend option B but you need to download something which I uploaded to my server. The downloadable file is a addon that will automatically update everything as you change it on excel. For this to work you need to make sure the addon is in the directly which your powerpoint will be in. It is also recommended that the excel files be in the same directory.

Option B.

1.  Download the MSGraph addon - www.servusys.com/fileuploader/GraphUpdate.ppa
2.  Copy this addon and place it in the directory.
3.  Double click the addon and powerpoint will open. It will not do anything but the addon will self install into powerpoint.
4.  Go to your excel file and highlight the selected rows/colums you wish to copy on powerpoint and click edit>>copy.
5.  On powerpoint, click on edit>>paste special
6.  A paste special box should appear with two options.
7.  Click on the bubble that says "paste link".
NOTE: You must first copy the table/chart you wish to include on powerpoint in order for the paste link option to be active. If you cannot click on that option then go back to step 4.
8.  After you click on paste link bubble you should be given two options. Click on Microsoft excel worksheet object and click ok.
9.  You will see your table in your powepoint now.

Test: Go to your excel file and change something and click save. Remember it will only change the boxes/graph you have higlighted when you pasted it into ppt. Save it and go back to powerpoint. See if it changed.

If it has not changed then double click on the addon you downloaded again. Save the PPT. and reopen it. Go back to the excel file and test it.

Let me know if it worked.

Thanks,

Mike
