Question Dear Dawn,l I am trying to update a publication which was prepared in MS Publisher last year (by someone else). I have the 2007 version of Publisher installed on my PC and whenever I open the document it gives me a message that fonts embedded in my publication are not available. the font is "Times". I have clicked the OK button and I can usually go into the document and make changes. (The font that is used is Garamond, not Times). However, I recently tried to open my document, and the portions which I had changed, and saved were "grayed out", and I could not access them.. But the areas of the document that i had never accessed to make changes, were shown in regular font and I could put the cursor on the page and type.
What is causing this, and how can I gain access to my document?

Answer Hi Claudette.
I am sorry you are having a problem in publisher. It sounds like the person who authored the file did not choose to embed the fonts into the file.
There a couple of things you can do:
First you need to know what fonts are available in your document. You can view or print a list of missing fonts when you open a publication or in a publication that is already open. When you open a publication that uses fonts that are not installed on your computer, the Load Fonts dialog box will appear. Do one of the following:
Click Font substitution> Click Print
Publisher prints the font report to your default printer. The report lists the following:
Embedded (font embedding: To insert a font into the publication. Once the font is embedded, the information becomes part of the publication.) fonts
Embedded fonts with license restrictions
Fonts neither on the operating system nor embedded
If the font type falls under one of the ones that says font neither on the operating system nor embedded you know that is your problem.
Your next step is to install the font.
(1) Close any open Windows applications
(2) In Control Panel, click Appearance and Themes.
(3) Click Fonts.
(4) On the File menu, click Install New Font.
(5) In the Folders list, double-click the folder that contains the fonts you want to add. Under List of fonts, click the font you want to add, and then click OK.
Re-open your document. If the dialog box appears again, choose to substitute the font. If you can open the file direct without any problems go ahead and embed all fonts so that you won't have the same problem in the future.
To embed
Go to tool> commercial printing> Fonts> Check the box that says embed true type fonts > unselect the font that says do not embed common system fonts.
If you do this it will increase the size of your file, but at least you will have all of your fonts entact.
