Microsoft Publisher - file saving as web publication instead of print publication

Expert: Dawn Douglas - 11/20/2008

Question
I work a help desk for customers using primarily MSPub. Today- I am stumped. A customer saved their document on a flash drive on a pc w/ MSPub 2003 OS= XP- took it home to a computer with OS Vista- doesn't know if she has 07 or 03 at home. Anyway- upon returning to the work PC had trouble opening on hers, then opened on a co-workers, then saved to network and opened file. Instead of displaying in the the upper task bar where the file name shows: "file name print publication", it read "file name web publication". She indicated she "saved it down" on the home PC, I suspect therein lies the problem. HOWEVER, available fonts were limited, graphics didn't come over etc. I logged on to her PC remotely and investigated what I could. This has me and the rest of us stumped. Any insight? Is it a Vista vs XP issue? Unfortunately we don't support Vista, yet have to deal with it as some of our client base has it-
my advice to her albeit not too helpful- was to copy and paste the home created info into a fresh publication and see what happens.
thanks in advance for any info you may have-

Answer
Hello Mo,

Hmmmmm........

I need a few pieces of information before I can really answer the questions.

(1) Did she use the pack and go feature to transport this file to another computer via the USB port?

(2) If she did did she embed the fonts and graphics when the option came up in the pack and go?

(3) Is she sure she didn't save it as a web page instead of a publisher document?

(4)  Does she still have the source file on her home pc and can she save it again correctly?

(5) Just by your brief explanation my guess would be she saved the file incorrectly. If the fonts are limited (that means she didn't embed the true type fonts), if the graphics won't show that means she didn't embed the linked graphics. The 2007 version of Publisher is backward compatible so I can't image the changes from 2003 being so significant that shouldn't access her file. At the most she was had a few formatting issues. If she simply copied the publisher document straight to the usb drive without using the commerical printing option, therein lies her problem. She cannot transfer a publisher document from one computer to another like that and expect it to work perfectly, especially if the computer has a different operating system and font availability.

(6) I use Microsoft Publisher on both Vista and XP transferring files between the two if I am working from home or on my lap top and I have never experienced any compliance issues. That's not to say their aren't any, I have not come across any.

What I would recommend then, is that she go back to the source file.
Embed all fonts and graphics first.

Tools>Commercial Printing Tools> Fonts> Check the embed true type fonts, uncheck do not embed system fonts. Save the document.

Then use the pack and go:
First create a folder for the location on the USB drive
File>Pack and Go>Take to Another Computer>Next>Select Drive and the folder location>Check embed True Type Fonts and Include Linked graphics>Finish

When takes her drive to another computer, have her copy the entire folder and paste it in the directory she is going to keep the publisher document. Use the unpack.exe to unpack the file in the directory she is going to use. Double click on the publisher document and it should automatically open in Publisher.

That should correct her problem.

I hope that helps.

Very Respectfully,

Dawn
