About Suzanne S. Barnhill
Expertise I've been using Word for Windows since version 2.0 (1992), and the more I learn
about it, the more I realize how little I know. But I may know a few things
that you don't, and I'll help if I can. I answer many questions every day in
Microsoft's peer support newsgroups and as a result have been awarded the
MVP (Most Valuable Professional) designation by Microsoft Corporation. You
may be able to find the answer to your question at the Word MVPs' FAQ site or at my own Word FAQ site, so please check those first! Please, no questions about VBA (macros), Registry editing, networks, or complex merges, as I have no experience with these aspects of Word, nor do I have any experience with Word for the Mac.
Experience I have a master's degree in classics (Latin), which is surprisingly helpful, though I no longer teach. The things I am proudest of: Having raised two children to maturity, both Merit Scholars, both college graduates (one a philosophy major!), one Phi Beta Kappa (from Harvard!); having been made a Paul Harris Fellow by my Rotary club; having been designated a Microsoft MVP.
Education/Credentials B.A. (Latin), Agnes Scott College, 1966; M.A. (Classics), Emory University, 1972.

Microsoft Word - Printing Labels - Using mail merge
Expert: Suzanne S. Barnhill - 11/4/2009
Question Hi Suzanne,
We have a excel spreadsheet where I have stored the address of all my customers with there names, city, zip. I want print out these addresses on the labels size/model 5163.
I am using Mail merge in MS Word to bring in all the contacts in Labels. The problem I am having is when I print these labels there is duplication in the print outs.
For Ex
1. I print the first page of the labels 1-10 in number on a single page.
2. When I print the second page, the address on the first label just moves to next slot in the page and prints again in the next page. Due to which I am printing the same address again and again. I have some 180 addresses in my excel file, which should take 18 pages with 10 address/page.
Can you tell me where I am going wrong in my method. I have 2003 VERSION of MS office.
Thanks
Saurabh
Answer I would imagine that the problem is that the «Next Record» field is missing from one or more of the labels (there should be one at the beginning of every label but the first). Either you haven't propagated the labels correctly or perhaps you have previewed the merge but haven't completed it? See http://www.gmayor.com/mail_merge_labels_with_word_xp.htm for step-by-step instructions for setting up a labels merge without the Wizard.
