Using MS Access - embedding and making PDF files searchable
Expert: Richard Rost - 11/2/2009
Question QUESTION: Beginner level
I have too many magazines with only a few pages of projects of interest. I intend to scan them and would like to store them in a database so I can search them. How do I link a (most likely PDF) file so the content shows in the record? Is there a way to make the text in each PDF itself searchable, or do I have to create at least one field with search words for each record?
Thanks!
Susanne
ANSWER: If you're going to take the time to scan these in, does your scanning software have an OCR feature? If so, can you just scan this data right to text and store that in your database? That would be the BEST solution.

QUESTION: yes, as far as I know I have to go through OCR to get a pdf. the thing is, that there will be one or more pictures/ drawings with each article and with a PDF I can keep everything together, text and images.
Currently I have the PDF's as attachments, but then I still have to open each one separately and the good thing about databases is that you can just "page" though a number of records quickly.

Answer My recommendation for any database like this is always to save the scanned images as FILES in a folder that you can LINK to in your database. Access doesn't do well when you scan large images into it. See this post in my blog for my thoughts on the issue:
