QUESTION: Hey there.

I need some advice. I'm looking into the idea of an Access database for my Team and I don't know if what I am asking for doable. We have around 40 sites and we have 100-200 ppl. Each person travels to a few of these sites for about a month or 2 as part of a placement they need to complete and we need a database to let us know were they are currently and a record of where they have been previously.

Can Access be designed in a way to give us what we want? really appreciate your help.

ANSWER: If all you need to do is track employees locations, then Access can do this easily. You would have a record indicating the person, location and dates from and to. You initially create the record with the From date, then when they return, you update the record with the To date. Records that have no To date show their current Location. Those with a To date show previous trips.

QUESTION: Thank you for getting back to me :)

So I'd need to create a record for every individual student and a record for every location and get them liked up with dates. In your opinion would this be difficult to setup?

I use Excel for this at the moment and it's very time consuming! :)

ANSWER: No it shouldn't be difficult. You can probably do most of this using the wizards. I would do some research on database design and normalization before getting started. The key to this is getting the database design right. Feel free to ask me to critique your table design before you start in on forms, and reports.

QUESTION: Hi Scott

I'm having difficultly with my database design due to what's needed for it and I need some feedback or guidance. I'd really appreciate your time having a look for me. I have attached an image with what I'm working with.

I need the database to
> track where students are; they could be in an area where they go back and forth multiple times or different areas.
> I need to know what course they are doing with what university.
> Each area has a group of mentors that are assigned to the students when they arrive - this will change when they go to different areas
> Placement Learning Member is assigned to look after and monitor each area

I think I'm running before I can walk with this one!
Please can you help.

I thought I had answered this, but I see it still in my pending. Your table structure is a good start.

I need to understand what area are.

You need to add the university ID to the courses taken table.

You need a similar junction table to manage mentors and students.

Can an area have more than one Learning Member?
