Using MS Access/Sequence Serial Numbering on Form

QUESTION: Hi Manish,

Is it possible to inert a sequence serial numbering on a form itself, the data source is from 4 different tables (Users, Demands, Orders, Actions) and printed directly from the form.

So, when select the user, the form shows details of demands/orders/action related to the specified user, I need to insert a serial numbering on the form.

ANSWER: Hello Sher,

Sure it is possible to insert Sequence Serial numbering (Created using field values on your form and stored in a field on which your form is based upon).

(when select the user, the form shows details of demands/orders/action related to the specified user)
1- For the above to happen you need to create separate Select queries which will populate your tables/queries on which your form is based upon based on the User logging into the system.
2- As a simple example, you can base your form on a query instead of a table, and your query needs to have a parameter in the user/employee field which will show only records related to the employee logging in.
3- In order for the above filter to get activated automatically, you need to first have a Login Name and Password field on your Main Form which gives access to a user. So once the user logs in successfully then based on his ID, you can set the filters as mentioned in point 2.

QUESTION: Hi Manish,

My form is already based on a query which takes data from three tables and with lot of parameters as (username like.., date between.., condition true.....) also there is a user name and password for each user with login screen, everything works perfect, I need a serial numbering on a form as:

All the details shows like :-

S/No  User  DemandNo    OrderNo   Supplier   Last Action
01    aaa   001/2015    001/2015  abc        quotation received
02    aaa   002/2015    002/2015  abc        sample received
03    bbb   003/2015    003/2015  abc        order placed
04    bbb   004/2015    004/2015  abc        waiting for shipment

when I select user aaa from combo box it looks like:

S/No  User  DemandNo    OrderNo   Supplier   Last Action
01    aaa   001/2015    001/2015  abc        quotation received
02    aaa   002/2015    002/2015  abc        sample received

and when select user bbb it looks like:

S/No  User  DemandNo    OrderNo   Supplier   Last Action
03    bbb   003/2015    003/2015  abc        order placed
04    bbb   004/2015    004/2015  abc        waiting for shipment

So what I need is to show the S/No for the User bbb as 01 and 02 instead of 03 and 04.

-Probably the solution I'm going to tell you below is practised by me only on a Report and not on a form.
-So pls create a report to view the serial no which will replace the field S/No below

On your sub-report which displays the following data below
S/No  User  DemandNo    OrderNo   Supplier   Last Action
03    bbb   003/2015    003/2015  abc        order placed
04    bbb   004/2015    004/2015  abc        waiting for shipment

Follow this procedure:
-Create an unbound text field named "txtSrNo"
-In the fields Control source property type "=1"
-Go to the Data Tab and make Running Sum = Yes

That's it. Run your report and you will get automatically generated Serial numbers per user.
This works only on a report and not form.
